# How to write a refund policy for digital products

> A refund policy for digital products should say when you refund or replace (the product never arrived or doesn't work), when you don't (a change of mind after delivery), how buyers ask, and what a refund ends. Buyers in the EU, EEA and UK can waive their right of withdrawal for instant delivery, which ShopFast records with a checkbox at checkout.

A refund policy does more than set rules. It tells a buyer, before they pay, what happens if something goes wrong,
which makes paying easier, and it gives them a route that isn't their bank. For digital products it also has to answer
a question physical stores don't face: what does a "return" mean when the buyer keeps a copy?

> This page explains common practice and well-known consumer rules in general terms. It is not legal advice. Consumer
> law differs by country, so check your policy with a lawyer who knows the countries you sell to.

## Do you need a refund policy for digital products?

Yes, even if it's short. Where your buyers live decides what they're owed: in many countries, consumers keep rights
when a product is faulty, doesn't work or isn't what was described, whatever a store's policy says. Change-of-mind
refunds are usually up to you, with one big exception covered below: the right of withdrawal in the EU, EEA and UK.

Your payment providers care too. They expect a clear policy, and a buyer who can't get help from you can always turn to
them.

## Can you have a no refund policy for digital products?

Many digital sellers write "all sales final." That line has limits:

- **It doesn't remove legal rights.** A buyer whose product doesn't work may be owed a fix or their money back where
they live, whatever your policy says.
- **It doesn't stop chargebacks.** A buyer told "no refunds" has one place left to go: their bank.
- **It reads badly.** Careful buyers wonder what you expect to go wrong.

A stronger version: no refunds for a change of mind once the product is delivered, and a fix, a replacement or a refund
when it doesn't work or never arrived. That's honest about the nature of digital goods and still protects you. The
link between refunds and disputes is covered in
[how to prevent chargebacks on digital goods](/guides/prevent-chargebacks).

## The EU right of withdrawal for digital content

Consumers in the EU and EEA generally have 14 days to withdraw from an online purchase, and the UK has a similar rule.
For digital content delivered right away, that right generally ends once delivery starts, provided the buyer first
agreed to immediate delivery, acknowledged that they lose the right, and the seller confirmed it. Without that
agreement, a buyer there may be able to withdraw within the period even after receiving the product.

On ShopFast, buyers in the EU, EEA and UK tick **Deliver my order right away…** before a paid order. The sentence they
agreed to and the time are stored with the order, and the receipt confirms them. Checkout also shows **Sold by** with
your legal name and address when you set them. Say in your policy that buyers in these countries make this choice at
checkout.

## What a refund can and can't take back

Before you promise anything, know what a refund actually does on each product type:

| What you sold | What a full refund does |
| --- | --- |
| License keys | The key the buyer saw can't be taken back |
| Files | Download links stop working; files already downloaded stay with the buyer |
| Memberships | The membership ends |
| Discord roles | The role is removed |
| Telegram access | Access is removed |

Refunds can be full or partial, to the payment method or as store credit, from **Orders → an order → Refund**. A refund
to the payment method goes back through the gateway the buyer used. For manual payments the refund is recorded and you
send the money yourself; crypto refunds go out from your wallet or processor. Retrying a refund never refunds twice.
The details are in [buyer protection](https://shopfa.st/docs/selling/buyer-protection).

## A digital product refund policy example

Replace the parts in brackets, cut what doesn't apply, and check the result against the law where you and your buyers
are.

1. **What this covers.** "This policy applies to digital products bought at [store name]."
2. **Delivery.** "Products are delivered right after payment, on your order page and by email. If you haven't received
your order within [time], contact us."
3. **When we refund or replace.** "If a product doesn't work as described and we can't fix it within [number] days, we
replace it or refund you. If your order was never delivered, or you were charged twice, we refund you."
4. **When we don't.** "Because digital products can't be returned, we don't refund a change of mind after delivery."
5. **EU, EEA and UK buyers.** "At checkout you ask us to deliver right away and acknowledge that you lose your right of
withdrawal once delivery starts. Your receipt confirms this."
6. **How to ask.** "Use Report a problem on your order page. We reply within [number] days."
7. **How refunds are paid.** "Refunds go back to your payment method [or as store credit, if you choose]. A refund ends
any access the order gave, such as a membership or a Discord role."
8. **Before a chargeback.** "Please contact us first. We can usually solve a problem faster than your bank."

For subscriptions, add how cancellation works and whether a partly used period is refunded; see
[selling subscriptions online](/sell/memberships-and-subscriptions).

## Handle refund requests without a support pile

- **Report a problem.** Buyers open a claim from their order page (not received, not working, not as described, wrong
item). It lands in Disputes & Claims with a reply-by date three days out, and you resolve it as refunded, replaced or
rejected with a note the buyer reads.
- **Replacements before refunds.** For keys, a replacement policy lets buyers press **Key not working?** and get a fresh
key from the same pool. See [how to sell license keys](/sell/license-keys).
- **Status over silence.** When a product is down, a status badge and a short note tell buyers you know and that a fix
  is coming ([product status](https://shopfa.st/docs/store/product-status)).

Because every order is [delivered automatically](/guides/instant-delivery) and logged, you can always see what a
buyer received and when before you decide.

## Where to publish your refund policy

Add it to your store's policies, and repeat the key line on product pages where refunds are limited, such as keys. If
you apply for ShopFast Pay, your refund policy is part of the application, and reviewers compare it with what you sell.
Refunds can also change what you owe in tax; the basics are in
[VAT and sales tax on digital products](/guides/tax-on-digital-products).

## Questions sellers ask

### Can I have a no refund policy for digital products?

You can refuse refunds for a change of mind after delivery, but in many countries buyers keep rights when a product doesn't work or isn't as described. A policy that also replaces or refunds faulty products is fairer and heads off chargebacks.

### Do EU customers have a right to cancel digital purchases?

Generally they have 14 days to withdraw from an online purchase, but for digital content delivered right away the right ends once delivery starts if they agreed to immediate delivery and acknowledged losing it. ShopFast asks EU, EEA and UK buyers for that at checkout and confirms it on the receipt.

### What should a digital product refund policy include?

When you refund or replace, when you don't, how buyers ask and how fast you reply, how refunds are paid, and what a refund ends. Add the EU, EEA and UK withdrawal waiver if you sell there.

### Can I take back a license key after a refund?

No. A key the buyer has seen can't be taken back. A full refund still ends memberships, Discord roles, Telegram access and download links.

### Is store credit a good alternative to a refund?

It works well as an option buyers can choose, and ShopFast can refund as store credit. It doesn't replace a refund a buyer is entitled to by law.

### Is this page legal advice?

No. It explains common practice and well-known rules in general terms. Check your policy with a lawyer who knows the countries you sell to.
